AI Policy Agent

Overview

The AI Policy Agent compares cleared virtual and physical card transactions with your organization’s uploaded expense policy and displays a plain-language readout directly on the transaction.

Spenders can spot missing requirements or business context earlier and reviewers get a consistent starting point for every review. Less policy hunting, fewer surprises, and a lot less back-and-forth.

Note: The policy readout is guidance only. It does not approve or reject a transaction. The reviewer makes the final decision.

Availability and permissions

• The AI Policy Agent is available on Extend Web for organizations on a Pro or Enterprise plan.
• An Owner or Admin must upload the organization’s expense policy and turn the feature on.
•  The agent evaluates cleared virtual and physical card transactions.
• The readout is guidance only. It does not approve, reject, or change a transaction; only reviews can take approval actions. 

Enabling the AI Policy Agent

1. Select Settings from the main navigation.
2. From Organization Settings, select General, then Organization Info and locate Expense Policy.
   
3. Enable the AI Policy Agent and upload your organization’s current expense policy document.
4. Extend will begin processing the uploaded policy. Processing may take a moment or two. Policy readouts begin appearing after processing is complete and eligible transactions clear.

View a transaction’s policy readout

1. Select Card Transactions from the main navigation and open the desired transaction to display its details
2. Use the “Here’s your policy info” section to review the Key takeaways for any policy requirements or missing information identified for the transaction.
   
3. You can view the full assessment at any time by selecting See more details to expand the readout.
   

Provide feedback on a readout

Select the thumbs-up or thumbs-down icon on the policy card to indicate whether the readout was helpful.

Frequently asked questions

1. Which transactions are evaluated?
   The AI Policy Agent evaluates cleared virtual and physical card transactions.
2. Does the AI Policy Agent approve or reject transactions?
   No. The readout provides policy guidance. An authorized reviewer must still make the approval decision.
3. Why don’t I see a policy readout?
   Confirm that the organization is on a Pro or Enterprise plan, the feature is turned on, the policy has finished processing, and the transaction has cleared.
4. What should I do if the readout is incorrect?
   Use the thumbs-down icon to provide feedback. Review the uploaded policy and transaction details before making a decision.
