Overview
There are several ways to code your transactions so your organization can reconcile spend quickly and accurately. Depending on your role and workflow, you can code transactions using any of the methods below:
- Code transactions individually
Tag transactions from the transaction table or flyout with the appropriate expense category. - Bulk code multiple transactions at once
Select several transactions and apply a category in one action. - AI-Powered Smart Suggestions
When enabled by the Owner or Admin, Extend will automatically surface the most likely expense category so you can apply it with a single click. - Manual Expense Category Rules
Owners, Admins, and full-visibility Bookkeepers can create rules that automatically code transactions based on merchant details, funding source, and other condition or leverage AI to automatically code transactions based on your previous coding and integration sync history - AI-Powered Category Rules
When enabled by the Owner or Admin, Extend can evaluate your org’s historical coding patterns and apply the most likely expense category whenever a transaction meets the rule’s conditions.
Coding transactions individually
From the Transaction List View
- Navigate to the transaction you wish to code.
- From the Transaction Table, click on the expense category field you would like to code and scroll or type in the search bar to find the correct category value.
- Select the expense category value to apply it, your selection will save automatically
From the Transaction Flyout
- If you wish to see additional transaction details when coding your transaction, select the transaction and open the Transaction Flyout.
- In the Expense Category section, select the Expense Category field you wish to code and scroll or type in the search bar to find the correct category value.
- Select the expense category value to apply it, your selection will save automatically
Bulk Coding transactions
- From the transaction list check the box next to each transaction you want to include in your update.
- At the top bottom of the screen you’ll see the number of selected transactions and your available options. Select Update.
- On the flyout you will see the Expense Categories section. For each field you want to update, select the correct value from the dropdown menu.
Note: If you leave a field blank, that category will not be changed for the selected transactions.
- Save Updates, changes will be reflected immediately.
AI-Powered Smart Suggestions
From the Transaction List View
- Navigate to the transaction you wish to code.
- From the Transaction Table, click on the expense category field you would like to code
- Under Suggested, review the AI-recommended category and select the suggestion to apply it, your selection saves automatically.
From the Transaction Flyout
- If you wish to see additional transaction details when coding your transaction, select the transaction and open the Transaction Flyout.
- In the Expense Category section, select the Expense Category field you wish to code.
