Overview
Extend’s Receipt Agent helps organizations manage transactions that are missing required documentation. It identifies transactions missing receipts, attempts to recover receipts when possible, and can follow up with spenders when receipts are still outstanding.
Extend’s Receipt Agent is currently available as an early pilot. Pilot functionality may change as Extend reviews participant feedback. If you would like to participate, please request access.
Connect Google Workspace
Connecting Google Workspace gives Receipt Agent an additional source to use when attempting to locate receipts associated with transactions.
- From the main navigation select Org Settings
- Navigate to Integrations and select Productivity.
- Open the Google Workspace integration and select Connect Google Workspace.
- Follow the prompts to finish connecting Google Workspace.
Note: Google Workspace is optional, but connecting it can help Receipt Agent locate more receipts automatically for users in your organization
Run the Receipt Agent
- From the main navigation select Accounting > Receipt Agent
- Select Run Receipt Recovery at the top of the page
- The agent will immediately get to work reviewing transactions.
- Return any Transactions list to see the agent’s updates or view the Receipt Agent workspace at any time to review a high level overview the agent’s progress.
Note: In order to take advantage of the Receipt Agent functionality, your org must have Receipt Rules enabled. To enable receipt rules, click here.
How Receipt Agent chases missing receipts
When you initiate and agent run, the Receipt Agent, it works through your organization’s outstanding receipt workload:
-
Identifies transactions missing required receipts.
Receipt Agent reviews transactions and determines which ones are missing required documentation. -
Attempts to recover receipts first.
When Google Workspace is connected, Receipt Agent searches for receipts that may be associated with those transactions. -
Follows up with the spender.
If a receipt cannot be recovered, Receipt Agent contacts the person responsible for the transaction and asks them to provide it. -
Tracks what is still outstanding.
As receipts are recovered or submitted, the Receipt Agent workspace updates so finance can see what has been resolved and what still requires attention. -
Keeps finance in control.
Receipt Agent handles the initial search and follow-up, while your finance team can review the results and step in on any transactions that remain unresolved.
Note: The pilot’s follow-up methods and timing may change as Extend evaluates participant feedback. Receipt Agent does not guarantee that every missing receipt can be recovered; some transactions may still require manual follow-up.
