If you are currently on the Starter plan (our free offering) and you want to upgrade to a Pro plan, you can self-serve upgrade within the app. Follow the instructions in this article.
If you are in the Enterprise tier:

If you are in the Pro tier:
If you are in the Pro tier, you can make the following modifications to your subscription:
- You can update the seat count (i.e number of users) you are paying for
- You can cancel your subscription
Updating the seat count:
Adding users to your organization:
The Pro plan includes 10 users by default
If you want over 10 users (i.e users in a Member, Card Manager, Bookkeeper, Admin or Owner role), you must pay for additional seats prior to inviting these additional users. The per-user pricing is based on your billing cycle, and is prorated based on when these additional seats are added.
For example, if you signed up for an annual plan and you want to add a user 7 months into your subscription, you will only be charged for 5 months (instead of a full year) for that additional user seat.
To add users:
- Navigate to the Extend ChargeBee customer portal
- Enter your email address (note: it must be the email address of the user who signed up for the subscription):
- Enter the OTP code sent to that email address:
- Click on your Extend Pro subscription:
- Click on "Edit Subscription":
- Edit the seat count in your subscription. The number of seats defines how many users you can add to your organization. For example, I may only have 11 users currently in my Extend org but want to pay for 15 seats because I know I will need to add 4 more users in the next few weeks.
- Once you have made the changes, click "Update Subscription". You can see the pro-rated charge for the additional seats, and it will automatically bill the card you have on file.
Important note: seat pricing is non-refundable. If you remove users from your organization but have already paid for their seats, you have those seats available if you choose to add more users in the future.
For example, I run a small company, company A, and have 13 users. My Pro plan includes 10 users, so I pay for 3 additional seats. Halfway through the year, one of my employees leaves the company, so now I only have 12 users. Because I already paid for 13 seats, I will continue to have 13 seats for the duration of my subscription -- and if I choose to hire another employee, I can add them to my Extend org without having to pay for a brand new seat.
When to decrease seat count:
The above instructions show you how to add more seats, however, you can follow the same instructions to decrease the number of seats in your organization. Because Pro tier includes a minimum of 10 user seats, you cannot decrease the seat count below 10.
Seats are non-refundable - so decreasing the seat count will not issue prorated refunds. However, you will want to make sure you modify the seat count before your subscription renews, as you will be billed (on renewal) based on the number of seats in your subscription.
To cancel your subscription:
Any subscription cancellations will be cancelled at the end of the billing cycle. If you are on a monthly plan, that means your plan will be active until the end of the month. If you are on an annual plan, that means your plan will be active until the end of the plan year.
To cancel your plan, you can navigate to Organization Settings > Organization Info > Manage Plan.
Then, click on the 3 dots next to Manage Plan > click "Cancel Subscription" and follow the steps on the screen.
